Decide what the bar team will do

Are you planning a drinks-only reception, a dinner with separate beverage service or a staffed nonalcoholic bar? State the expected guest count, service window, drink format and whether setup or cleanup is needed. A bartender-only inquiry is for bar service without chefs or helpers; for a chef-led dinner, use private dining and specify any additional bartender staffing there.

Describe a workable example request

For a hypothetical reception, you could request bar service from guest arrival through the end of the event, state how many guests are expected, identify a bar counter and sink on site, and say whether you plan to supply beverages and ice. The provider can then discuss staffing, tools, setup time and what is missing. Do not interpret the initial budget as a provider's final price.

Choose the bartender-only RFQ template

The guided form asks for a headline, future start and duration, date flexibility, city, state and ZIP, guest count and budget. Choose bartender only if no chefs or helpers are requested and at least one bartender is needed. Add event details, requested staffing, kitchen or workspace availability, equipment provided or needed and cleanup expectations. The grocery-choice field is part of the form; use the details to clarify beverage and supply responsibilities.

Clarify supplies and site requirements

Ask who brings mixers, garnishes, glassware, ice, bar tools and any nonalcoholic alternatives, and who handles setup, waste and cleanup. Describe venue rules, access and the physical workspace before the service date. The marketplace does not guarantee that a provider supplies alcohol, holds any particular license or can legally serve at your venue; check applicable laws, venue policies and provider qualifications yourself.

Read estimates for scope, not just totals

An RFQ is visible to matching approved providers, who may send nonbinding estimates with staffing and supply commitments. Compare duration, setup, included tools and exclusions, ask questions and verify that the proposal covers the same event you described. Selecting a response creates a booking request only; a final quote, terms and later confirmation steps remain. There is no guaranteed response, availability or ready-to-use payment.

Protect private details while planning

Use city and ZIP rather than an exact street address in the initial RFQ. Do not post phone numbers, email, links or private health information in public details. Discuss exact venue access privately after selecting a provider. Approval to publish a listing is not a personal vetting or licensing assurance; independently check suitability and any local requirements.

Pair bar service with the right food plan

If you need both a cooked dinner and bar staff, start with private dining and request bartender staffing in that scope; if you need food prepared for later, meal prep is a different job. Restaurant-chef service is for kitchen work rather than event bar coverage. Keeping these roles distinct makes the eventual quote easier to review.
